About you

We are looking for a self-starter who can demonstrate they possess the following essential skills:

  • Ability to troubleshoot problems autonomously, as well collaboratively with the legal team.

We’re looking for someone with relevant experience in a similar role. A qualification in legal studies, legal services, business administration or similar is advantageous but not essential.

The opportunity

You will be primarily responsible for:

  • Diary and inbox management.
  • Identifying CPD opportunities and share with lawyers/book.
  • Working in collaboration with Operations Support to coordinate team workflow and other activities, as required.
  • Initial drafts of legal documentation.
  • Conducting company, PPSR and title searches, and ordering and compiling property searches and certificates.
  • Collating and merging documents, such as franchise documents, leases, disclosure statements, contracts of sale and vendors statements.
  • Uploading documents and creating envelopes in DocuSign, and monitoring signing.
  • Managing IP Australia correspondence.
  • Submitting trade mark applications through IP Australia.
  • Assisting with conveyancing forms and tasks, including via PEXA where required.
  • Basic research and support as requested by a lawyer.
  • Assisting retainer clients.
  • Opening new matters.
  • Preparing Costs Disclosures.
  • Sending Costs Disclosures by DocuSign, following up signing, and saving to matters.
  • Archiving matters, saving emails and correspondence to LEAP.
  • General proofreading.
  • Assisting lawyers with administrative support.
  • Updating or preparing templates and precedents.
  • Assisting lawyers with email correspondence.
  • Assisting with reporting, including progress reports.
  • Assisting with the setup and maintenance of legal related technology.
  • Liaising with external suppliers as needed.
  • Working with the Operations Support to manage client invoicing and debtor follow-ups when required (including taking over this function if Operations Support is on leave).
  • Creating client forms and monitoring responses through Microsoft Forms.
  • Other administrative tasks as needed.

Above market salary (plus bonuses) is on offer, commensurate with what you uniquely bring to the table.
