We’re looking for someone with relevant experience in a similar role, and at least a Diploma level qualification in Human Resources, Business, Marketing, Communications or similar.
You must have excellent Microsoft Office and Sharepoint knowledge, and knowledge of Power Automate is preferred but not essential. Graphic design skills and experience are ideal.
The opportunity
The Operations Support role is primarily responsible for providing whole firm operations support across business operations, people & culture, and technology. Additionally, this role will assist with strategic projects that improve operational effectiveness, user and client experience and workflow.
You will be primarily responsible for:
Operations
- Diary management.
- Collaborating with the Legal Support to coordinate team workflow and other activities.
- Booking meeting rooms, facilities and catering as required.
- Managing firm-wide travel bookings and arrangements.
- Accounts payable and receivable and independently managing debtors.
- Updating templates, creating presentations and client dashboard reporting in Canva.
- Diarising due dates, sending reminders, and assisting with insurance renewals, practicing certificate renewals and memberships.
- Managing equipment and asset registers.
- Coordinating marketing activities, including posting approved marketing content on social media.
- Managing The Giving Project and coordinating donations.
- Upon request, ordering client or staff gifts and supplies as needed.
People & Culture
- Assisting with recruitment, including reviewing resumes, booking interviews, and managing candidate pipelines and talent pools.
- Drafting letters, employment contracts and other documentation as required.
- Managing onboarding and offboarding of staff.
- Assisting with payroll administration.
- Coordinating firm wide training and performance review process.
- Answering general employment queries.
- Assistance with updating processes and policies.
- Confidential management of employee records.
- Coordinating activities related to our rewards and recognition policy.
Technology
- Liaising with our IT team regarding the set up and maintenance of firm wide technology and other IT related matters.
- Managing Legalite’s Sharepoint including updating pages, ensuring assets are filed in the correct locations, problem solving tech issues (where possible) and creation of forms and workflows.
- Managing Legalite’s Xero as required for accounts, expenses, and payroll reporting.
- Assisting with the coordination of Legalite’s cyber security activities as needed.
- Ordering approved equipment as needed.
- Keeping a register of assets and equipment.
Projects
- Assisting with firm wide projects as needed, including basic research, coordination of milestones and related administration.
- Leading operations innovation and workflow process improvement projects as required.
